Dear meinpep customer,

please pay attention to these travel conditions, because by booking you accept these travel conditions, which will be sent to you before booking. They apply to all trips. They supplement and complete the legal regulations of §§ 651a - y BGB (German Civil Code) and Art. 250 and 252 EGBGB (Introductory Act to the German Civil Code). These travel conditions do not apply to mediated individual services (e.g. cruises, rental cars and campers, vacation homes, parking, travel protection, excursions & tickets, sporting events as well as benefit partners ) as well as the mediation of associated travel services within the meaning of § 651w BGB. You will receive separate information about each of these. These travel conditions are available on the Internet at www.meinpep.de/agb.

1. conclusion of the travel contract

The travel registration in accordance with the advertisement becomes binding upon receipt by meinpep. The applicant is also responsible for all persons listed in the registration. The travel contract is concluded upon receipt of the written travel confirmation (by e-mail) by the applicant. Location and hotel brochures as well as Internet advertisements that are not published by meinpep are not binding for meinpep and its obligation to perform, unless they are made the subject of the travel advertisement or the content of meinpep's obligation to perform by express agreement with the client.

Bookings on www.meinpep.de, which are made upon request, are binding. The hotel usually sends us a response within 3 working days (in exceptional cases it may take longer) whether your request booking can be confirmed or not. As soon as we receive a confirmation or cancellation we will inform you by email. Please note that your booking request is binding from the moment of booking via www.meinpep.de and therefore cannot be cancelled free of charge.

2. special features of meinpep - travel

2.1 The booked services are based on special prices, which are provided by the service providers exclusively for tour operators. Therefore, you are obligated to identify yourself accordingly upon request of the service provider. This is possible, for example, by means of a DRV ID card, employee ID card, business card in conjunction with ID card or a corresponding letter of confirmation from your employer. If you are not able to prove your identity, you will be charged again or your benefits will be excluded. A refund of already paid prices for certain services after the trip is excluded in such a case. Please make sure that the e-mail addresses and telephone numbers you provide are correct. Both are essential for communication between you and meinpep. Users/travelers should therefore, in their own interest, inform meinpep of any changes to their e-mail address or telephone number as soon as possible.

2.2 As a precautionary measure, we would like to point out that the intentional, unauthorized use of our pep offers may constitute a criminal offense under Section 263 of the German Criminal Code (StGB) and may be prosecuted accordingly. This penalty may also affect employers who forward our offers to third parties (friends, customers, etc.) without authorization.

2.3 meinpep and its service providers reserve the right to charge the price difference to the regular end consumer price in case of insufficient legitimation.

2.4 The special prices for tour operators may not be communicated to third parties. A violation of this obligation may result in a subsequent charge, exclusion from the booked service and exclusion from using meinpep. This also applies to false information provided during registration. meinpep reserves the right to verify the information provided by registered users.

2.5 As a tour operator, you are obligated to view hotels booked through meinpep and to be available for a discussion with the hotel management by appointment.

2.6 meinpep is not obligated to accept every registration of a tour operator. It is exclusively up to meinpep to decide this.


3. payment

3.1 meinpep has taken out insolvency insurance with Deutscher Reisesicherungsfonds GmbH to secure the client's funds. The insurance certificate will be sent with the down payment or final payment invoice.

3.2 Upon conclusion of the contract, a down payment of usually 25% of the total price is due upon receipt of the confirmation.

3.3 The balance is to be paid at the latest 28 days before the start of the trip.

3.4 The total invoice amount is due immediately upon receipt of the confirmation in the following cases:

- for bookings with a total travel price of up to Euro 200.00

- for bookings made 30 days or more before the start of the trip

- for all charter, scheduled flights


3.5 Payment can be made, depending on the period until departure, either by direct debit or credit card (Visa or MasterCard). The amounts will be automatically charged to the account or credit card on the agreed due dates.

3.6 In the case of payments from abroad, all fees incurred for this are to be borne by the client of the payment.

3.7 In case of rejection of payments as well as return debit notes due to incorrect account details or insufficient funds, bank charges incurred as a result, which are not the fault of meinpep, will be charged to the travel applicant at Euro 10.00 per case.

The client is at liberty to prove that meinpep actually incurred no or lower costs.

3.7 If you do not pay on time despite meinpep's willingness to do so, meinpep is entitled to withdraw from the travel contract after issuing a reminder with a deadline and to demand reasonable compensation from you for the arrangements made up to the point of withdrawal and its expenses depending on the respective travel price in accordance with sections 6.1 to 6.4 of these terms and conditions.


4. travel documents

The travel documents are usually sent electronically. If you have not received the travel documents at least 7 days prior to departure, please contact meinpep immediately.


5. changes

5.1 Prior to the conclusion of the contract, meinpep may make changes to the service descriptions at any time, of which the traveler will of course be informed prior to booking.

5.2 meinpep will inform you immediately of any changes in services and offer you a free rebooking or a free withdrawal from the booked service with a declaration period of 3 days, provided that the change is not insignificant. Your right to withdraw from the contract free of charge in the event of a significant or unreasonable change remains unaffected.

5.3 The client has the choice to react to meinpep's notification or not. If the client responds to meinpep, he/she can either agree to the change of contract, demand participation in a substitute tour, if such a tour has been offered to him/her, or withdraw from the contract free of charge. If the client does not react to meinpep or does not react within the set period of time, the communicated change is considered accepted.

5.4 Any warranty claims shall remain unaffected insofar as the modified services are defective. If meinpep had lower costs for the implementation of the changed trip or replacement trip with equivalent quality, the client is to be reimbursed the difference in accordance with § 651m para. 2 BGB.

5.5 In the case of cruises, the captain alone decides on any necessary changes to the travel time and/or routes, e.g. for safety or weather reasons.


6 Cancellation by the travel participant

6.1 You can withdraw from the trip at any time before the start of the trip. This requires a written declaration to meinpep. In the event of a cancellation, the date of receipt of the notice of cancellation by meinpep is decisive. meinpep loses its claim to the tour price in the event of a cancellation of the travel contract. meinpep may, however, demand reasonable compensation from you instead. This will be calculated according to the date of receipt of the cancellation notice as follows:

from the 25th day before departure 50% min. Euro 50,00 per booking

For Aldiana bookings, the following separate cancellation rate applies:

up to 31 days before departure 40%, min. Euro 50,00

from the 30th day before departure 55%, min. 50,00 Euro

from the 24th day before departure 65%, min. 50,00 Euro

from the 17th day before departure 75%, min. 50,00 Euro

from the 10th day before departure 85%, min. 50,00 Euro

from the 3rd day before departure 90%, min. 50,00 Euro

from the 2nd day prior to departure until the day of departure or in case of no-show 95% of the travel price, min. 50,00 Euro


For the TUI KIDS CLUB Gut Wenghof the following special cancellation conditions apply:

For the Savoy Hotels the following separate cancellation conditions apply from 27.12.2022 - 02.01.2023 and 27.04.2023 - 30.04.2023:

from the 30th day until the 15th day before departure, 50% of the total price
from the 14th day or later, no show or early departure 100% of the total price

The following separate cancellation conditions apply to Savoy Hotels during the rest of the season:

1 day before departure, no show or early departure 100% of the total price.

For Muthu Hotels, the following separate cancellation policies apply:

Grand Muthu Golf Plaza Hotel: cancellation within 10 days prior to arrival will be charged for 3 nights, 100% for stays less than 3 nights.

Grand Muthu Forte da Oura, Grand Muthu Forte do Vale, Grand Muthu Oura View Beach Club, Muthu Oura Praia Hotel and MGM Muthu Raga Madeira Hotel:
if cancelled within 9 days of the arrival date, 100% of the total booking will be charged.

Muthu Clube Praie da Oura: in case of cancellation within 10 days before the arrival date, 100% of the total booking will be charged.

No Show or early departure 100% of the total price (applies to all Muthu Hotels).

For Dukley Hotel & Resort, Infinity by Dukley and Hotel Harmonia by Dukley the following separate cancellation policy applies:

July and August: 10 days prior to arrival until the day of departure: 100% cancellation fee.

In case of early departure or no-show: 100% cancellation fee.

For Mövenpick Resort & Spa Jimbaran the following separate cancellation conditions apply:

100% cancellation fee from 7 days prior to departure until the date of arrival or no-show: 01.05. - 14.07.2023, 01.09. - 21.12.2023, 07.01. - 14.07.2024 and 01.09. - 31.10.2024

100% cancellation costs from 14 days before departure until the day of arrival or no-show: 15.07. - 31.08.2023 and 15.07. - 31.08.2024

100% cancellation fee from 21 days before departure until the day of arrival or no-show: 22.12.2023 - 06.01.2024

For the hotels Alam Anda Ocean Front Resort & Spa, Huni Lio and Seda Lio the following separate cancellation conditions apply:

7 days or less / no-show / early departure 100% of the total amount.

For the hotels Aktaion Resort, Baywatch Hotel Apartments, Camvillia, Margo Beach Hotel and Petra & Fos Boutique Hotel & Spa the following separate cancellation conditions apply:

On the day of arrival, no show or early departure 100% of the total price.

For Messinian Bay and En Plo Luxury Suites hotels the following separate cancellation conditions apply:

From 1 day before departure to the day of departure, No Show or early departure 100% of the total price.

For the Hotel Elite City Resort, Acrotel Porto Brava Luxury Villas, Acrotel Athena Residence and Acrotel Athena Pallas the following separate cancellation conditions apply:

From the 2nd day before departure until the day of departure, in case of no-show or early departure 100% of the tour price.

For the Hotel Ktima Mani the following separate cancellation conditions apply:

From the 4th day before departure until the day of departure or no show 100% of the tour price.

For the Hotel Athens Key Hotel the following separate cancellation conditions apply:

in low and mid season: from 1 day before departure until the day of departure, no show or early departure 100% of the total price
in high season: from the 4th day before departure until the day of departure, no show or early departure 100% of total price

For the Arctic Earth Christmas as well as the Arctic Earth New Year PEP Package the following separate cancellation conditions apply:

- up to 46 days prior to departure 20% of the tour price,
- from the 45th to the 30th day before departure 30 % of the tour price,
- from the 29th to the 15th day before departure 40 % of the tour price,
- from the 14th to the 7th day before departure 60 % of the tour price,
- from the 6th day before departure 80 % of the travel price,
- from 1 day before departure or in case of no-show 90 % of the tour price.

For Hotel Korkyra the normal cancellation scale applies, except in case of no-show or cancellation on the day of arrival: 100% cancellation fee.

For ship voyages/sail cruises with Barone Tours GmbH, the following separate cancellation conditions apply:

up to the 90th day before departure 30 % -from the 89th day before departure 50 % -from the 60th day before departure 65 % -from the 30th day before departure 75 % -from the 14th day before departure 90 % -from the 3rd day before departure or in case of no-show 100 % of the tour price.

Special conditions meinpep Flextarif:

Free rebooking or cancellation up to 14 days before departure for selected hotels.

Cost meinpep Flextarif:
29 Euro for a trip up to booking value 500 Euro
39 Euro for a trip up to a booking value of 1,000 Euro
49 Euro for a trip up to a booking value of 2,500 Euro

6.3 Flights


After a fixed booking has been made, in the event of cancellation of flights, the price of air transportation included in the transportation fee will not be refunded. Due to the administrative costs associated with a cancellation, a handling fee of Euro 50.00 per cancelled flight and per person will be charged. Up to this amount, payments received from you will be retained or you may be required to pay the difference up to this amount. In the aforementioned cases, the client is at liberty to prove that meinpep has not incurred any damage or that the damage is less than that claimed with the processing fee.


6.4 Costs for possible visa arrangements or travel insurances as well as handling fees are always to be borne 100% by you even in case of cancellation.

6.5 The aforementioned provisions regarding cancellation costs apply to all trips/offers, unless separate regulations are referred to in the respective invitation to tender. In any case, you are at liberty to prove that meinpep has incurred no or significantly lower costs due to a cancellation.

7. rebooking by the traveler

7.1 After conclusion of the contract, the traveler has no right to change the travel date, the travel destination, the place of departure, the accommodation or the mode of transportation (rebooking).

7.2 If, at the request of the traveler, changes are made after the booking of the trip with regard to the date of travel, types of meals, room categories, mode of transportation, addition of persons as well as changes to the date of travel up to 31 days prior to the start of the trip, meinpep is entitled to charge a processing fee of Euro 25.00 per person. If such a rebooking results in higher travel prices for the traveler and/or fellow travelers, the difference in price is to be paid by the traveler.

For Aldiana bookings, the following separate rebooking scale applies:

up to 31 days before departure 40%, min. 50,00 Euro

from the 30th day before departure 55%, min. 50,00 Euro

from the 24th day before departure 65%, min. 50,00 Euro

from the 17th day before departure 75%, min. 50,00 Euro

from the 10th day before departure 85%, min. 50,00 Euro

7.3 Rebookings/changes after the deadline of 30 days before departure for trips that involve the purchase of tickets (e.g. musicals) and for airline tickets are not possible. Instead, you can withdraw from the booked trip under the conditions stated in these terms and conditions and make a new booking according to your wishes. In the same way, changes regarding the travel destination can only be made after withdrawal from the travel contract under the conditions specified in section 6.1 or 6.2 with simultaneous re-registration. The person registering for the trip is responsible for coordinating his/her change requests with any other travel services booked by him/her.

7.4 The applicant can name substitutes for him/herself and/or fellow travelers. Since the programs are special trips for tourism professionals, both the applicant and any substitute person for the applicant must always belong to this group. If a third party takes the place of the registered participant, meinpep is entitled to demand a lump sum of Euro 50.00 for the processing costs incurred by the substitute person in addition to any additional costs incurred by service providers (e.g. airlines). You are at liberty to prove that the costs incurred by the third party were not incurred or were significantly lower.

8. services not used

If the traveler does not make use of individual travel services that were properly offered to him for reasons that are attributable to him (e.g. due to early return or other compelling reasons), he has no right to a proportional refund of the travel price. meinpep will make every effort to obtain reimbursement of the saved expenses from the service providers. This obligation does not apply if the services are completely insignificant or if a refund is contrary to legal or official regulations and the equivalent value of the service is less than Euro 50.00. meinpep reserves the right to charge a handling fee.


9 Cancellation/Rebooking on the part of meinpep

9.1 meinpep is entitled to withdraw from the travel contract up to 20 days prior to the start of the tour if the number of participants does not reach a specified number or if the number of participants is not specified by the authorities, provided that the travel description and the travel confirmation state that the tour will only take place if a certain number of participants is reached. The already paid travel price will then be refunded immediately, but in any case within 14 days after receipt of the cancellation notice.

9.2 meinpep may withdraw from the contract prior to the start of the trip if it is prevented from fulfilling the contract due to unavoidable, extraordinary circumstances; in this case, it must declare its withdrawal immediately after becoming aware of the reason for withdrawal. If meinpep withdraws from the contract, meinpep loses the claim to the agreed travel price.

9.3 Travel advice from the German Foreign Office is available on the Internet at www.auswaertiges-amt.de and under the telephone number (030) 5000-2000.


10. termination for reasons of conduct

meinpep is entitled to terminate the travel contract without notice if the traveler, notwithstanding a warning from meinpep, causes a sustained disturbance or if he/she behaves in a manner contrary to the terms of the contract to such an extent that the immediate cancellation of the contract is justified.


11 Passport, Visa and Health and Entry Requirements

11.1 meinpep will inform nationals of a country of the European Union in which the tour is offered about provisions of passport, visa, health and entry requirements prior to the conclusion of the contract. For nationals of other states, the responsible consulate will provide information. It is assumed that there are no special features in the person of the traveler (eg dual nationality, statelessness). The customer is responsible for informing himself before the start of the trip about the applicable passport, visa, health and entry requirements.

11.2 The customer is responsible for obtaining and carrying the travel documents required by the authorities, any necessary vaccinations and compliance with customs and foreign exchange regulations. Any disadvantages resulting from the failure to comply with these regulations, e.g. the payment of cancellation fees, shall be borne by the client. This does not apply if meinpep has not provided information, or has provided insufficient or incorrect information.

11.3 meinpep is not liable for the timely issuance and receipt of necessary visas by the respective diplomatic representation, if the client has commissioned meinpep with the procurement, unless meinpep has culpably violated its own obligations.


12. limitation of liability
The tortious liability of meinpep for property damage that is not based on intent or gross negligence is limited to three times the travel price. The maximum liability amount applies per client and trip. Possible claims in connection with luggage in accordance with the Montreal Convention that go beyond this shall remain unaffected by the limitation.

12.1 The contractual liability of meinpep for damages not resulting from injury to life, body or health is limited to three times the travel price

a) as far as a damage of the traveler is neither caused intentionally nor by gross negligence or

b) insofar as meinpep is solely responsible for damages incurred by the traveler due to the fault of a service provider.

Possible further claims according to the Montreal Convention or the Air Traffic Act remain unaffected by this limitation.

12.2 meinpep is not liable for service disruptions, personal injury and property damage in connection with services that are merely arranged as third-party services (e.g. excursions, sporting events, theater visits, exhibitions, transportation services to and from the advertised point of departure and destination) if these services are expressly identified as third-party services in the travel description and booking confirmation, stating the arranged contractual partner, in such a clear manner that the traveler can recognize that they are not part of meinpep's travel services.

meinpep is however liable

a) for services that include the transportation of the traveler from the advertised starting point of the trip to the advertised destination, intermediate transportation during the trip and accommodation during the trip,

b) if and insofar as the damage of the traveler is caused by the violation of meinpep's duties of information, explanation or organization.


13. duty to cooperate of the traveler

13.1 If a travel service is not provided or not provided free of travel defects, the traveler may demand remedy. meinpep may refuse remedy if it is impossible or involves disproportionate costs.

13.2 The traveler may demand a reduction of the tour price if travel services were not provided free of travel defects and the traveler did not culpably fail to report the defect immediately (without culpable delay). The travel participant is obligated to immediately notify either the hotel on site or meinpep itself of any defects occurring at the start of or during the trip in order to give the hotel the opportunity to remedy the situation. A termination for good cause due to the unreasonableness of continuing the trip remains unaffected by this.

13.3 Insofar as meinpep is unable to provide a remedy as a result of a culpable failure to report the defect, the traveler may neither assert claims for a reduction in price pursuant to § 651m nor claims for damages pursuant to § 651n.

13.4 If a client/traveler wishes to terminate the travel contract due to a travel defect of the type described in § 651 i BGB in accordance with § 651 k BGB or for an important reason recognizable by meinpep due to unreasonableness, the client/traveler must first set meinpep a reasonable deadline for remedial action. This does not apply only if remedial action is impossible or refused by meinpep or if the immediate termination of the contract is justified by a special interest of the client/traveler recognizable by meinpep.


14 Exclusion of Claims, Statute of Limitations

14.1 Claims for non-contractual provision of the tour must be asserted against meinpep (for address see below under section 18) no later than one month after the contractual termination of the tour. This should be done in writing in one's own interest. After the deadline has expired, the traveler can only assert claims if he was prevented from meeting the deadline through no fault of his own. The day of the end of the trip shall not be included in the calculation of the one-month period.

14.2 meinpep urgently recommends to immediately report damages or delays in delivery during air travel to the responsible airline on the spot by means of a notice of claim (P.I.R.). Airlines usually refuse refunds if the damage report has not been completed. In case of damage to baggage, the claim must be filed within 7 days, and in case of delay, within 21 days from the date of delivery. Otherwise, the loss, damage or misdirection of luggage must be reported to the tour guide or meinpep.

14.3 Claims of the traveler arising from injury to life, body or health that are based on an intentional or negligent breach of duty by meinpep or a legal representative or vicarious agent of meinpep shall be subject to a limitation period of two years. This shall also apply to claims for compensation for other damages which are based on an intentional or grossly negligent breach of duty by meinpep or a legal representative or vicarious agent of meinpep.

14.4 The limitation period pursuant to the above paragraphs 14.2 and 14.3 shall commence on the day following the day of the contractual end of the journey.

14.5 Claims in tort are subject to a limitation period of three years.

14.6 If negotiations between the traveler and meinpep regarding the claim or the circumstances giving rise to the claim are pending, the limitation period shall be suspended until the traveler or meinpep refuses to continue the negotiations. The limitation period shall commence at the earliest three months after the end of the suspension.

15 Consumer Dispute Resolution/OS Platform and Assignment

15.1 The European Commission provides a platform for online settlement of consumer disputes at http://ec.europa.eu/consumers/odr/. meinpep participates in this voluntary procedure for alternative dispute resolution.

15.2 The assignment of claims against meinpep is excluded. This does not apply to family members traveling with meinpep or to members of a jointly registered group.

16 Passport, Visa, Customs, Foreign Exchange and Health Regulations

16.1 meinpep will inform the client/traveler about general passport and visa requirements as well as health formalities of the country of destination including the approximate deadlines for obtaining necessary visas prior to the conclusion of the contract and, if applicable, about any changes until the start of the trip.

16.2 The traveler is responsible for compliance with all regulations important for the implementation of the trip. All disadvantages, in particular the payment of cancellation costs, resulting from non-compliance with these regulations shall be borne by him/her, except if they are caused by culpable misinformation or failure to provide information by meinpep.

16.3 meinpep shall not be liable for the timely issuance and receipt of necessary visas by the respective diplomatic representation if you have commissioned him to procure them, unless meinpep is responsible for the delay. In order to obtain visas etc. from the relevant authorities, you should expect an approximate period of 8 weeks.

16.4 Please refer to the pre-contractual information whether a passport is required for your trip or whether an identity card is sufficient, and please make sure that your passport or identity card has a sufficient period of validity for the trip. Children require their own travel documents.

16.5 Customs and foreign exchange regulations are handled very strictly in various countries. Please inform yourself exactly and follow the regulations without fail.

16.6 Various countries require certain vaccination certificates, which must not be younger than 8 days and not older than 3 years (smallpox) or 10 years (yellow fever). Such vaccination certificates must also be presented to German authorities if you are returning from certain countries (e.g. Africa, Middle East). Please refer to the pre-contractual information for corresponding information.

17.1 The registration with meinpep and the use of our travel offers requires the electronic storage of your data. This data will be used by meinpep exclusively for the purpose of processing the contract.

18.1 Obvious printing and calculation errors entitle meinpep to correct or contest the concluded contract.

18.2 The invalidity of individual provisions shall not result in the invalidity of the entire contract.
